How to Submit Stones to the Laboratory

Anyone, from anywhere around the world, can submit diamonds and colored gemstones to the GIA laboratory and be assured that they will enjoy the same GIA Report fees and levels of service. We are continually developing new methods to make access to our services easier and more convenient.

Shipping directly to GIA Laboratories

For GIA Diamond Grading Reports and Diamond Dossiers, we will only accept loose (unmounted) and cleaned diamonds. Mounted stones for these services will be returned ungraded.

What you will need:
A signed Client Agreement form, if we don’t have a current form for you on file. Each account must complete the Client Agreement–Principal Account version, which contains the Patriot Act Compliance Confirmation and the Kimberley Process Certification. Each of your representatives who require access to your GIA account must complete the Client Agreement–Client Representative version. Please be sure to return the signed signature page(s) with your first shipment. We request that you complete updated agreement(s) periodically, typically at the beginning of each year.

A memo or pro-forma invoice of submitted items including weight, shape, value and service requested, on company letterhead (if applicable).

Your GIA Client Number (if available).

Return shipment information, including address, telephone number, insurance requirements and estimated declared values.

Instructions:

Place each item in an individual parcel paper or other suitable container. Parcel papers must include shape and weight. You may also include your internal identification or lot number. Parcel papers MUST NOT include company name, initials, logos, phone, fax, email, website, or any other information which identifies you as the client or refers to grading information. Doing so may result in an additional charge.

Ship via U.S. Registered Mail (within the U.S.) or air/armored courier services. If you are shipping from outside the U.S. and are unfamiliar with procedures and fees associated with shipping gemstones internationally, please contact your local air/armored courier and GIA Laboratory Client Service.

Shipping via GIA Laboratory Service Centers

To facilitate shipments of diamonds and other gemstones to our laboratories by our international customers, we are establishing GIA Laboratory Service Centers in key gem and jewelry markets around the world. We recently opened our first center in Hong Kong, which is staffed by GIA personnel who will take in your items, arrange for shipment and return, and provide you with Client Agreement Forms and additional information.

GIA LabDirect, a system of authorized, third-party consolidators, provides easy, convenient access to GIA laboratory services from a growing number of locations outside the U.S. With GIA LabDirect, international customers can deliver and pick up their items locally, transact business in their own languages, and get help with packaging, insurance, custom rules and regulations, and the many complicated details of shipping valuables internationally.

Payment Instructions

Please note: These instructions apply only if you are making payments directly to a GIA laboratory in the U.S. Payment instructions for international GIA Service Centers and LabDirect consolidators will vary, so please contact those offices individually.

Payment is made in U.S. dollars. Please include your account number and appropriate invoice reference(s) with any payment. If you have not been approved for billing by GIA through the Business/Credit Application process, payment must be made in full before we return your item or communicate results.

Methods of Payment:
1. Checks drawn on a U.S. bank
2. Cashier’s check/money order drawn on a U.S. bank
3. International Money Order drawn on a U.S. bank
4. Wire transfer direct to our bank

(Please note that banks charge up to $20 in wire transfer fees, and that this fee may be automatically deducted by the issuing bank or financial institution before the wire amount reaches GIA.)

Payments for invoices and statements not received by the due date are subject to late charges applied at an 18% Annual Percentage Rate. There will be a $15 charge on all returned checks.

GIA Laboratory Online Service

Get secure access to your laboratory account 24 hours a day, seven days a week at GIA’s secure web portal, My GIA. GIA laboratory online service allows you to:
  • check the current status of items submitted to GIA
  • view results on completed items
  • request additional services such as rechecks or inscriptions
  • order reports to be printed
  • view all items that are available for pick up or shipping
  • view all items that have been returned to you within the last two weeks.

This service is available 24 hours per day and the information is updated every 15 minutes. The online service is secure and confidential – only you, or your designated company representative(s), can view, access, or take action on your items.

To use this service, you need to be a current laboratory Client; you need a separate and valid e-mail address; and you need to set up an online account.

To open an online account, please complete and return the GIA Laboratory Online Services Application to the Gemological Services Department via fax or mail. If more than one representative from your company needs access to this account, please supply a separate and valid e-mail address for each user.

After we receive your completed application, we will send an individual user ID and temporary password to each e-mail indicated on your form. Each user will be asked to reset this password when first logging into the secure GIA portal.

We hope you find this new service a valuable tool for streamlining and expediting your workflow and we look forward to adding many new features in the coming months to further enhance this service.
